Digitalisation and dynamisation of production master sheets

RS Farbroller has replaced production orders in PDF format with a GAPTEQ solution. The web application, which is connected to the merchandise management system, provides an up-to-date overview of all production orders. Customer change requests are also immediately visible. This makes the production status transparent for everyone involved and saves a lot of administrative effort.

RS Farbroller is a supplier of customised painting tools for industry, paint and varnish manufacturers and specialist retailers. What makes them special is that the paint rollers are handmade and ‘100% Made in Germany’. Not only does the company manufacture exclusively in Baienfurt, it also sources all its raw materials from Germany, thus guaranteeing the best quality for its professional users. 

The owner-managed company was looking for a flexible and easy-to-use software solution to manage its production processes. Previously, production orders were imported as PDF files onto employees' iPads. However, individual changes during the production period could not be updated in the static PDF documents. For example, if there were changes to the order quantity, dates or products, new product master sheets had to be sent as PDF files. In addition to the time required, there was also no overview of the status of all production orders.

Standard applications for production processes are oversized and too inflexible for RS Farbroller. Holger Bremer, responsible for IT and digitalisation, therefore wanted to build the dynamic production application himself using a low-code software platform. As with its own production, the company also relies on the ‘Made in Germany’ quality standard for its in-house software. After conducting market research, Holger Bremer concluded: ‘GAPTEQ is exactly the solution I was looking for.’ The transparent pricing information provided directly on the GAPTEQ website was also a decisive advantage over other providers for the cost-conscious company.


Solution

Holger Bremer initially started development with the GAPTEQ trial version. Any questions that arose were quickly clarified with the GAPTEQ support team, so that the first application was ready for use in just under three days. Holger Bremer found the support provided by GAPTEQ to be very helpful and efficient. As the application grew, he booked a training day as part of the GAPTEQ coaching programme, which he can access on an hourly basis as needed – for him, this is the ideal approach to further development: ‘With the low-code platform, I can develop myself and call on GAPTEQ's support as a wild card whenever I need it.’

In the easy-to-use GATPEQ web interface, production employees can now call up their production orders themselves and report completed items. The cloud-based application is directly connected to the merchandise management system, so that new orders or changes entered in the administration are always available in the dynamic production master sheet. All open orders are also displayed in an overview showing their current processing status. This gives employees and the production manager a constant overview of the pipeline and how much time remains for processing.

Result

The simple documentation of new orders, changes and finished products in the GAPTEQ application saves a lot of time and manual effort. A key advantage of the production overview is the increased up-to-dateness and transparency it provides. At a glance, it is clear whether production is on schedule. All parties involved have the same view and are on the same page. Since order acceptance, warehousing, shipping and logistics are also integrated, it is no longer necessary to send messages with static PDF attachments, and enquiries from various departments have been greatly reduced. 

RS Farbroller relies on digitalisation and automation for the management and control of its business processes. With GAPTEQ, the company has found a cost-effective solution for digitalising more and more processes based on its databases. Internal goods orders for the company's two locations and reports of machine malfunctions are now also carried out in GATPEQ. 

In strategy meetings with management and in discussions with production, Holger Bremer is always finding new starting points for further applications. The fact that he can implement these directly as system solutions and put them into operation is what makes low-code software so valuable for the company and opens up a wide range of digitisation potential in a simple way.
